What to Expect in Your Proposal of Service Meeting with Whirks

You've had your discovery call with us, shared your challenges, and now you're curious about the next step.

Maybe you're ready to see exactly how we'd solve your payroll headaches, or perhaps you're still exploring your options. Either way is totally fine.

At Whirks, we believe in transparency when it comes to solutions and pricing. Our Proposal of Service meeting is designed to connect the dots between the pain points you shared with us and the specific ways we can address them.

We don’t want to overwhelm you with features you don't need. We want to show you a clear path from where you are now to where you want to be.

Here's what we’ll cover in this meeting and how it can help you make the best decision for your business.

What This Meeting Is Really About

Think of this as the "here's how we'd actually help you" conversation. We're not going to give you a generic sales pitch. We're going to take the specific challenges you shared during discovery and show you exactly how we'd solve them.

Our pricing is transparent and straightforward. You can see it on our website if you want to do some preliminary research. But this meeting goes deeper than just numbers

We want to connect your real-world problems to real-world solutions and make sure you understand exactly what you're investing in.

You might be thinking, "Okay, I'm interested and this all sounds good, but I'm not ready to sign anything today." That's completely normal. Some people come to this meeting ready to move forward, while others are still gathering information. Both approaches are fine. We'll meet you wherever you are in your decision-making process.

How We Present Solutions That Actually Matter

Rather than showing you every bell and whistle our system has, we'll focus on the specific issues you mentioned during our discovery call.

Let's say you told us that tracking time across multiple job sites is a nightmare, or that getting payroll information into your accounting system takes forever. We may decide to do some brief screen sharing (maybe five minutes, nothing overwhelming) to show you exactly how we'd streamline those processes for you.

We're not talking about a full-blown software demo. If we decide to show you our solution in action, it’s for targeted problem-solving. "Remember when you mentioned how you struggle tracking time across multiple job sites? Here's precisely how we'd handle that for you."

We might also recommend some solutions that didn't come up during discovery but that we think would be really beneficial based on your type of business. If we do this, think of it as "If I were in your shoes, here are some additional things that could make your life easier."

By the end of this part of the conversation, you'll have a clear picture of what we're proposing, and you'll understand why each piece matters for your specific situation.

Getting Clear on Investment and Next Steps

As we’ve shared, we believe in straightforward pricing with no hidden surprises. We'll walk you through each component of what we're recommending and what you'll be investing in. No buried fees, no "gotcha" moments down the road.

If you're ready to move forward, that's fantastic. We can outline your timeline right there on the call. Since payroll works best when we're targeting specific payroll dates, we'll work backward from your next payroll to create a realistic implementation schedule.

Even if you decide that you want to wait until the end of the year to start (which is common), we'd still love to get documents signed now. Why? Because we want to get your implementation plan set up, so you have that light at the end of the tunnel in clear view.

You won't be charged a dime until we run your first payroll. So, if you sign in September but don't start processing until January, you won't pay until we're actively running payroll for you.

If you're not quite ready to commit, that’s OK. We'll want to dig into what's holding you back. Maybe it's timing, maybe it's budget, maybe it's just wanting to think it over. Whatever has you hesitating, we'd rather talk through it honestly than pretend it doesn't exist.

Questions That May Come Up at the Last Minute

Even when people are excited about moving forward, a few practical questions almost always surface. Here are a few that sometimes come up:

  • "Am I signing a long-term contract?" The short answer is no. We don't believe in trapping anyone in a long-term commitment. Our agreements are month-to-month.
  • "What are those separate W-2 fees? Why do you charge separately for that?" Fair question, and we're happy to explain exactly what goes into that process. Most payroll companies break these fees out separately, so for ease of comparison, we break them out as well.
  • "What is new hire reporting?" This is one of those compliance things that sounds scarier than it actually is. But it is Federal law, and we can take this off your plate.
  • "Do you handle wage garnishments and child support notices?" Yes, and we'll walk you through how that works.
  • "Do you convert all my historical payroll details from my old system?" People often worry about losing years of payroll history, so we'll explain exactly what transfers over and what doesn't.

These are practical concerns that any business owner would have. We'd rather address them upfront than have you wondering about them later.

When You're Ready to Say 'Yes' To Whirks

If you decide to move forward, here's what happens next. We'll need a few documents to get started: a voided check from the account you want to run payroll from, and a couple of IRS forms that need actual signatures (yes, the old-fashioned wet signature kind).

Don't worry, though. We don't just hand you a stack of paperwork and wish you luck. We’ll send you a short video that walks you through each document. "This is Form 8821, scroll to the bottom, sign here, don't date it, here's what it actually does." Each form gets explained so you know exactly what you're signing.

These documents essentially put us on the hook for filing your payroll taxes correctly and on time. If we ever mess up (which we don't plan to), we pay the penalties, not you.

Once we have your signed documents back, we'll schedule your implementation kickoff call

If you've also signed up for additional services like HR support or employee benefits, we'll schedule separate kickoff calls for those as well. We prefer to get started with payroll and cover additional services separately, rather than trying to walk through everything at once.

Moving Forward with Confidence

Remember, this whole process is designed around what works best for your business, not what's most convenient for us. Whether you're ready to start next week or want to plan for a January 1st launch, we'll work with your timeline.

The goal of this meeting isn't to pressure you into anything. We just want to give you all the information you need to make a smart decision. You've already identified that something in your current process needs to change. Now, it's just a matter of figuring out the best way forward.
